How to Organize your very own WordCamp!
Pick a date!
Make sure there aren’t any other tech type events going on in your area that would conflict (that the same type of attendees would be interested in).
Budget!
Are you funding it yourself? Are you going to get sponsors? This will determine many factors such as: venue, to serve or not to serve lunch, admission charge?
Sponsors!
Contact local start-up companies / venture capital firms and ask if they’d be interested in donating any amount of money. Make sure you explain your intentions.
Venue!
Because we are low-key, we don’t choose places like the 4 Seasons for venues. Reach out to local start-ups and venture capital firms to see if they’d be willing to offer some space for the event. If not, search for an inexpensive venue, sometimes parks have event halls.
Wifi!
Make sure wifi is available. If not you will have to contact a local provider to set it up for the day.
Speakers and Schedule!
Depending on who your audience is you’ll want to choose the appropriate speakers. Do you have an Automattician in your area? Celebrity bloggers? They make great speakers.
Schwag!
Contact Maya Desai, Anti-Chaos Engineer, with your address and she can send you t-shirts and stickers. maya@automattic.com
Blog about it!
Blog about the event as soon as possible and encourage people to RSVP at least a week before the event. Send Maya the link and she will have Matt post about it on his blog.
Volunteers!
Get as many volunteers as possible to help with registration, setup, food, schwag, trash, etc.
Supplies!
Routers, projector, screen, power cords, pens, blank name badges (if you are going to have those), extra trash bags, water, snacks.
Event Insurance!
Don’t forget to find out if you’re venue requires event insurance:
